Job Title: Finance Administrator

St John’s Innovation Centre is currently recruiting for a Finance Administrator. We’re seeking a motivated individual with excellent attention to detail and a positive approach to learning in role to support the Centre’s finance team.

Job Title: Finance Administrator (Centre Services)
Reports to: Finance & Operations Manager
Hours of Work: 24 hours per week (4 days)

Main Purpose of Job:

Reporting to the Finance & Operations Manager, this role will be responsible for
• Preparing the Centre’s profit & loss and balance sheet accounts in a timely manner and producing analysis to inform the Board, Management Team and Departments (Conference & Catering, Consultancy, Reception)
• Primarily responsible for tenant and virtual tenant services
• Working closely with the Finance Administrator (Property Services) to ensure smooth running and cover for the finance team.

KEY TASKS AND RESPONSIBILITIES:

Knowledge, Skills and Experience
• Day to day recording and reporting of income, including accurate and timely invoicing via the company systems – UKSPA Clarity &Sage.
• Manage the Centre’s purchase ledger via Sage, from purchase orders through to timely payment of suppliers.
• Correct use of the company’s online banking systems
• Managing the process for producing the Centre’s monthly Management Accounts within the time guidelines including prepayments and accruals and variance analysis of conference & catering and tenant services.
• Ensure the fixed assets process is correctly followed
• To assist the budget process, preparing budget schedules, inputting into finance systems, updating management accounts schedules
• To prepare monthly financial analysis of consultancy projects, liaise/support the consultancy team with financial issues.
• To prepare year end files for Auditors and liaise with Auditors as required.
• Efficient use of the Company’s systems, ensuring they are working correctly and data is kept up to date.
• To cover for the finance administrator (Property Services) where possible.
• Continually review processes used, keep instructions up to date, recommend improvements.
• Any other Ad hoc duties as required including input on project work if required.

Personal Attributes

Qualifications:
ESSENTIAL
• AAT
• Intermediate Microsoft Professional skills (esp Excel
• Use of computerised financial systems – Sage, or similar
• expenses, timesheet, analysis systems

DESIRABLE

Experience
ESSENTIAL
• Previous experience of preparing Management Accounts in a similar sized organisation
• Working in a small team

DESIRABLE
• Property management, facilities management

Specific Skills
